The right workflow for each building.
Choose full management when your office tracks resident receivables, cash and payments. For a building that only needs common-charge statements, choose issuance only at creation and work through expenses, allocation and printing.
Issuance-only buildings do not track resident debt, cash, supplier payments, prepaid credit or carried balances, and do not offer resident-portal payments. The mode is chosen at creation; these statements are not tax invoices.
For buildings in full management, enable overdue reminders separately from your team’s unsent-bill reminders. See reminder options
The product principle
Issue, publication, delivery and payment each have their own record.
Lock the period. Protect the record.
Finalizing protects the issued period from edits. Unlocking is available only when the eligibility checks pass; even one partial payment prevents it. Corrections follow a separate workflow.
Put collection dates on the bill.
Set date and time slots for collections. Include them in the period’s bills and emails so residents know when to expect you.
Keep the previous balance visible.
When carry-over is enabled, show the previous balance separately from the new period’s charges.
Review recipients before sending.
Send bill emails from Operations. Bills without a verified email remain visible for follow-up, so missing contact details do not go unnoticed.
Choose the document’s structure.
Preview common-charge documents in Classic, Editorial or Structured Form. Classic remains the default. Choose email styling separately, so changing the printed layout does not change your emails.
Ready for the resident.
Published bills carry the period, the amount remaining and the payment reference into the portal.
Run the period, publish bills and arrange the collection dates.
Inspect charges, carry-over and payment records on the same bill.
Open the published bill and find the remaining amount and payment reference.
