Photograph a receipt in Documents, or import a DEI bill. Review the draft before allocation and supplier payment.

Building defaults
See whether an expense is draft, allocated, billed or paid, and open the details behind its current state.
Documents is the office phone app for owners and administrators. Photograph a receipt or upload a PDF, then review the suggested building, supplier, period and amount. Check any possible duplicate before you confirm the draft.
The original stays with the expense. A saved draft is not allocated, billed or paid.
The product principle
The document, the allocation and the payment belong to the same expense.
The photo or PDF you confirm stays on the draft. When a cleaned copy is ready, it sits beside the original so you can check the page without losing the source.
Track each supplier bill’s amount and payment state independently within the expense.
Actions follow the expense’s status. Use the supported correction workflow when an issued charge needs to change.
For reserve collected through bills, see how much residents have paid toward the contribution. Direct reserve spending remains a separate treatment.
Review the supplier amount against the building’s operating balance before confirming the payment.
Give the office a consistent record to prepare, check and explain.
Photograph receipts in Documents, then use bulk entry, recurring defaults and DEI imports for the rest of the period.
Keep invoices, supplier bills and payment records close to the expense.
Published bill lines explain the expenses included in the period.
