Records & coverage
Online checkout
Residents check the amount, then continue to Viva. Available for eligible published bills when the office account and building are set up for online payments.
Record the cash you actually received.
Enter the amount and review what it covers before saving. A payment record represents money received—not a reminder or an email sent.
Partial payments leave a remaining balance. Surplus is treated as prepaid credit only where the building allows it.
Collecting in person? Prepare and assign a saved route, then use Nestio Field to review balances and record cash from your phone. Keep the route PDF available when needed. Explore collection planning & trips
The product principle
A payment is more useful when you can explain what it covered.
Part paid. Clearly recorded.
Show the bill amount, payments recorded and what remains. Paying part of a bill is not the same as settling it.
Know what you’re paying for.
The payment summary identifies the target and explains what happens to any remaining money before you confirm.
Corrections stay in the story.
Review payment events and their bill allocations. Reversals and refunds remain traceable as separate events rather than silently rewriting the story.
Keep prepaid credit distinct from collections.
Where prepaid credit is enabled, unused money can stay on the resident’s account for later bills. It is not another unpaid charge.
One RF reference for the person and building.
The stable bank-transfer reference follows the person within a building across billing periods. Card payments through Viva are identified by their checkout order, not by RF.
A record you can return to.
Keep payment evidence close to the bill, so the next conversation starts with the same facts.
Find the amount, method and date without asking the resident to repeat the whole story.
Review the allocation and the remaining balance before following up.
Online, bank and cash records remain distinguishable in payment history.
